A PDF attached to an email goes wherever the recipient sends it, and stays valid forever. For a contract draft, a price list or a report that is not for everyone, that is more reach than you meant to give. Sharing the PDF as a link puts you back in control.
How a PDF is shared
Upload the file when you create a new share in the dashboard, or from an AI tool connected through MCP. shareHub renders every page and shows the document in the browser, laid out exactly like the original, with the text laid over the page so it can still be selected, searched and copied. The reader needs no PDF viewer and downloads nothing.
What to know before you upload
- Up to 5 MB and 20 pages. A longer PDF is refused with a message that names its page count; it is not cut off silently.
- Scanned PDFs stay images. There is no text recognition, so a scan has no searchable text unless the PDF already contained it.
- Forms and annotations do not come across. What the reader sees is the page itself.
Choose who can open it
Pick email code to let in only the addresses you list, or everyone at a domain you name; each reader receives a six-digit code. Pick PIN when you cannot list addresses, and send the PIN through another channel than the link. Leave it public only for a document that is fine for anyone who is handed the address. Public, PIN or email code explains what each one proves and what it does not.
Give the link an end date
Every link ends: after 90 days unless you set another date, and never later than 365 days from when you set it. A price list that is valid until the end of the quarter can stop working on that day. If the deal is still open, extend it from the dashboard.
Take it back
Closing a link is immediate. Every request checks the link again, and nothing is cached, so a reader who already has the page open cannot reload it afterwards. shareHub also never lets search engines index a shared document: even a public link is only reachable by someone who has the address.
Replace the file, keep the link
If the PDF changes, upload the new file to the same share. The link and its access rules stay, readers see the new version, and the view status starts again for it. See updating without a new link. The file formats and limits are listed in the developer documentation.
Frequently asked questions
Can I password-protect a PDF with shareHub?
You protect the link, not the file: with a 4-digit PIN or with an email code sent to the addresses you approve. The reader opens the document in the browser, so there is no file to unlock.
How large can the PDF be?
Up to 5 MB and 20 pages. A larger document is refused with a clear message instead of being truncated.
Does the reader get the original PDF file?
No. They see each page rendered in the browser. The original file is not served from the link.
